How we collect, use and protect information on our website and in the GPSG Employee Portal.

Who we are and what this covers

Green Project Solutions Group (“GPSG”, “we”, “us”) is an engineering, construction management and quality control firm based in Washington State. This policy explains how we handle information on our public website, greenprosol.com, and in the GPSG Employee Portal (the private, sign-in-only part of the site used by GPSG staff and by people we authorize, such as contractors, consultants and other service providers working with GPSG).

It also covers the portal's connection to QuickBooks Online (by Intuit), which GPSG uses for payroll, expenses and invoicing.

Information we collect

From website visitors. When you use our contact, subcontractor or careers forms, we receive what you type in: for example your name, company, email, phone number, message, and for job applications your résumé and the answers you give. Our website statistics are anonymous and cookie-free; we don't use advertising trackers.

From portal users. To run the company, the portal holds work records such as your name, work email, phone, job title and profile photo; time clock entries (and, when you clock in at a job site, your phone's location at that moment); expenses and receipts; daily reports, test records, photos and signatures; messages; training and certification records; and company vehicle trip data. It also keeps a security log of sign-ins and account changes.

From QuickBooks Online. When an authorized GPSG user connects QuickBooks, the portal reads GPSG's lists of employees, customers and projects, service items and accounts, so it can match them to portal records. It writes approved time activities, approved expenses (with receipts) and draft invoices to GPSG's own QuickBooks company. It does not read bank details, tax filings or other companies' data.

How we use information

  • To answer inquiries, review job applications and work with subcontractors.
  • To run projects: inspection and test reports, schedules, safety records and client reporting.
  • To pay people correctly: approved hours go to payroll, approved expenses are reimbursed, and billable time is invoiced to clients.
  • To keep the portal secure: sign-in checks, fraud and abuse prevention, and the security log.

We do not sell or rent personal information, share it for advertising, or use QuickBooks data for anything other than GPSG's own accounting.

Who can see it

Inside GPSG, access is need-to-know: your own time, expenses and reports are visible to you and to the managers and approvers who review them; messages only to the people in the conversation; payroll and accounting pages only to managers, administrators and our payroll provider.

We use trusted service providers to operate the site, under their business terms: Cloudflare (hosting, storage, email delivery and bot protection), Microsoft 365 and Google (sign-in, email and company files), Intuit QuickBooks Online (accounting and payroll), Anthropic (the GPSG AI assistant; under its commercial terms our data is not used to train AI models) and our vehicle tracking provider. They only process data to provide their service to GPSG.

We share project records with clients and project partners as our contracts require, and we may disclose information if the law requires it or to protect people's safety or GPSG's legal rights.

How we protect it

  • All traffic uses HTTPS (TLS 1.2 or newer), and data is encrypted at rest on Cloudflare's infrastructure.
  • QuickBooks sign-in tokens and app keys are stored encrypted. The portal never sees anyone's QuickBooks or Intuit password; access is granted on Intuit's own sign-in page and can be disconnected at any time.
  • Portal pages require sign-in. Accounts are approved by GPSG, sessions lock after inactivity, repeated wrong passwords pause sign-in, and passwords found in known data breaches are refused.

How long we keep it

We keep website inquiries and applications as long as needed to respond and for our hiring and bidding records. Payroll, time, expense and project records are kept as long as required by law, our contracts and our accounting needs. When a QuickBooks connection is removed, the portal deletes its stored QuickBooks tokens; records already sent to QuickBooks stay in GPSG's QuickBooks company.

Your choices

You can ask us to see, correct or delete information you sent us by emailing contact@greenprosol.com. Employees can update their own profile in the portal and should contact a GPSG administrator for anything else. Some records, such as payroll and project quality records, must be kept even if you ask us to delete them.

Our website is meant for adults and businesses; we don't knowingly collect information from children under 13.

Changes and contact

If we change this policy, we'll update the date at the top of this page. Questions? Email contact@greenprosol.com or call 360-422-2042. See also our Terms of Use.
